Plan Availability

Chloe is available on the Growth and Scale plans.

Chloe is accessed from the left sidebar of Close by Admins, Super Users, and any custom roles with the Manage Customizations  permission.

The first time this page is accessed, you’ll be prompted to set up Chloe.  This covers everything from teaching Chloe about your business to running a Test Call before deploying her to real leads.

After the setup is fully complete, you’ll create and manage Agents, configure Chloe's instructions, and review her activity in this tab.

The setup process has four stages:

  1. Setup conversation

  2. Test Call

  3. Reviewing skills

  4. Configuration screen

Chloe Setup

Chloe starts with a voice-based setup conversation. She will walk you through a series of questions to build out the initial configuration. You will speak with Chloe directly through Close on that setup page.

The conversation covers:

  • Introduction – Chloe will explain what she does and what to expect from setup.

  • Business discovery – You’ll be asked questions about your business, your product or service, and your sales process.

  • Chloe design – You’ll shape how Chloe handles conversations, including what she asks and how she qualifies leads.

  • Configuration – You’ll decide what Chloe should do on calls, like booking meetings, sending scheduling links, or looping in your team.

  • Configuration – Chloe asks what actions she should be able to take during calls, such as booking a meeting, sending a scheduling link, alerting a team member, or creating a follow-up task.

  • Wrap-up – A summary of what was configured and what comes next.

Test Call

After the setup conversation, Chloe will offer you a Test Call. This lets you experience a call with Chloe before she contacts any real leads.

The Test Call uses the configuration built during the setup conversation. If Chloe's responses feel off, you can adjust her instructions on the configuration screen after the call.

After the Test Call, you are taken to the Skills Configuration step - review these skills and enable or disable as needed before proceeding. You can review and adjust the lead selection before Chloe calls anyone.

Some Skills require additional configuration before Chloe can use them:

  • Send Scheduling Link – requires a scheduling link to be added

  • Book Meeting – requires Google Calendar to have booking permissions enabled under Settings > Accounts & Apps first.

Managing and iterating Agents

After completing the setup stages, you are taken to the Chloe configuration screen. This is where you manage Agents, refine Chloe's instructions, configure phone numbers, and adjust settings over time.

Each Agent has five configuration tabs: Instructions, Skills, Knowledge, Settings, and Test Variables.

Instructions

The Instructions tab defines what Chloe knows and what she does on calls. It has two sections: Company Details and User Instructions. Click Advanced edit to edit either field directly.

Company Details is Chloe's built-in context about your business, such as your company name, what you sell, and key facts about your product or service. Keep it accurate and concise.

User Instructions defines what Chloe should do on each call, including her goal, how to open the conversation, what questions to ask, and how to drive toward an outcome. This is the primary method for shaping Chloe's behavior.

Chloe must begin every call by disclosing that she is a virtual AI assistant and that the call is being recorded. This cannot be overridden by any Agent configuration.

Skills

Skills define what actions Chloe can take during a call. Each skill is toggled on or off per Agent. Skills with a gear icon have additional configuration options.

Your instructions should tell Chloe when to use each Skill. When a Skill is toggled on or off, the the Agent's prompt is updated to add or remove references to that Skill. However, you may want to provide additional guidance in the User Instructions about when Chloe should or should not use a specific Skill -- for example, only offering to book a meeting if the contact confirms they are the decision-maker. See Prompt Training for guidance.

Knowledge

Additional knowledge about your company that Chloe can reference should be stored here.

The Knowledge tab has two sections:

Built-in knowledge is always available to Chloe during a call. Use this for key facts Chloe should be able to reference immediately, such as company name, product details, pricing basics.

Searchable knowledge sources are documents or URLs Chloe can look up when needed. These may take slightly longer to access during a call. Avoid including internal or sensitive information that should not be shared with contacts. These can be added directly here, and can be managed under Settings > Customizations > AI Knowledge Sources.

Settings

This covers the operational configuration for the Agent. The phone number Chloe dials from, the email address used to send Scheduling Links (if enabled), and the voicemail message she leaves if a call goes unanswered can each be set here. Voicemail messages support variables.

Further down in this section, you’ll find where to adjust your Playbook. This section defines Outcomes, which are the business goals and success criteria for this Agent. Chloe will automatically apply the correct Outcome based on how the call goes. Click Add Outcome to create a new one.

Summary Guidance (optional) provides additional instructions for how Chloe should summarize calls for this Agent.

Custom Fields adds fields that will appear in the conversation activity for this Agent.

Test Variables

Test Variables let you define sample values for the variables used in your instructions. These values are used when running a Test Call so Chloe behaves as if she is calling a real lead.

Available fields include Lead Name, Lead Status, Contact details (first name, last name, title, email, phone), Organization Name, and Call Task Description.

Update these to reflect a realistic lead before running a Test Call.

Publishing a Agent

Changes to an Agent are not live until you click Publish. Use Discard Changes to revert to the last published version. Always run a Test Call after making changes and before publishing and iterate as needed.
