Auto Updates
Auto Updates use AI to help fill in structured information from your transcribed calls and meetings. After a transcript is available, Close can use the conversation to automatically fill the Playbook, Outcome, and Playbook custom fields on the activity.
Auto Updates can help your team keep call and meeting records consistent without manually filling in every field after each conversation.
Auto Updates improvements are available to all organizations that have the Playbooks & Outcomes feature and have turned on Auto Updates in Settings > Billing > AI Credit Usage.
Auto Updates use AI credits when they run.
What Auto Updates can fill
Auto Updates can fill:
- Playbooks: the type of conversation that took place
- Outcomes: the result of the conversation
- Playbook custom fields: structured details captured from the conversation
Auto Updates work on calls and meetings where a transcript is available. Close can only review a conversation after it has been transcribed. Transcripts are created when a call or meeting is recorded by Chloe or another voice agent, or when Call Assistant is enabled for a rep’s calls and meetings. If a call or meeting does not have a transcript, Auto Updates will not run for that activity.
Turn Auto Updates on or off
To manage Auto Updates:
- Go to Settings.
- Open Billing.
- Select AI Credit Usage.
- Turn Auto Updates on or off.
How Auto Updates work
When a call or meeting transcript is available, Close reviews the transcript and compares it to your Playbook, Outcome, and field descriptions.
Close applies values when the result is confident enough. If Close is not confident enough to apply a value, or if something goes wrong, the field shows an indicator instead of staying blank with no explanation.
You can manually change Auto Updated values at any time.
Review low-confidence results
Sometimes Auto Updates find a possible value but do not apply it because confidence is too low. This helps prevent Close from filling in a field when there is not enough information in the transcript.
Previously, a low-confidence result could look like Auto Updates did not run because the field stayed empty. Now, Close shows an indicator so you can see why the value was not applied.
When this happens, you may see an indicator such as Not enough data to autodetect or a warning icon on the field.
Click the indicator to see:
- What Auto Updates would have filled in
- Why the value was not applied, clearly labeled
- An option to keep the suggested value, when available
- A link to the relevant Playbook, Outcome, or field guidance in Settings, so future calls and meetings can produce better results
The indicator clears when you fill the field yourself, keep the suggested value, or Auto Updates run again with a confident result.
Review errors
Errors look different from low-confidence results so you can tell the difference between:
- Close found a possible value, but confidence was too low
- Something went wrong while Auto Updates were running
Click the error indicator to see more information. If the error can be retried, use the retry option in the message.
Improve Auto Updates accuracy
Auto Updates work best when your Playbooks, Outcomes, and custom fields have clear guidance. Close uses these descriptions to decide what to apply after a transcribed call or meeting.
Playbook descriptions
Write Playbook descriptions that explain when the Playbook should be used.
For example, instead of:
Use this for discovery calls.
Use something more specific:
Use this when the rep is learning about the prospect’s current process, pain points, timeline, and decision criteria.
Outcome descriptions
Write Outcome descriptions that explain the exact result of the conversation.
Outcome Templates include examples of descriptions designed to help Auto Updates choose the right Outcome. Use those templates as a reference when creating or editing your own Outcomes.
If you link Outcomes to Playbooks, Close can use the detected Playbook to narrow down which Outcomes Auto Updates should choose from. This can improve accuracy when different conversation types have different possible results.
If no Playbook is selected or configured, Auto Updates may still choose from your organization’s available Outcomes, so clear and distinct Outcome descriptions are especially important.
Custom field AI Guidance
For custom fields, use AI Guidance to explain what information belongs in the field.
AI Guidance replaces the previous Enrichment Guidance label. You can edit AI Guidance for any field Auto Updates touches.
For example, instead of:
Notes about the company.
Use something more specific:
The company’s current sales process, including tools used, team size, and main bottlenecks.
Clear AI Guidance can help Auto Updates capture the right information and reduce low-confidence results.
Tips for writing better guidance
When writing Playbook descriptions, Outcome descriptions, or custom field AI Guidance:
- Keep the guidance short, specific, and easy to understand.
- Explain when the value should be used.
- Make it different from similar Playbooks, Outcomes, or fields.
- Avoid vague descriptions that could apply to several options.
- Write it so someone new to your sales process would know which option to choose.
Better guidance can improve accuracy, but it does not guarantee that Auto Updates will always apply a value. If the transcript does not include enough information, Close may still leave the field empty or show a low-confidence indicator.
Why a field was not filled
If Auto Updates did not fill a field, check for these common causes:
- The call or meeting does not have a transcript.
- Auto Updates are turned off in Settings > Billing > AI Credit Usage.
- The transcript did not include enough information.
- The Playbook, Outcome, or custom field guidance is too vague or overlaps with other options.
- The field type is not supported for Auto Updates.
- An error occurred while Auto Updates were running.
Permissions
Users can see Auto Updates indicators when they have access to the activity and related fields.
Some links in Auto Updates messages open Settings so you can improve Playbook, Outcome, or field guidance. If you do not have permission to edit those settings, ask an admin to make the change.
