Finding and Merging Duplicates

Keeping your CRM clean is key to accurate reporting and a smooth sales workflow. Close does not currently have a built-in duplicate detection tool in the UI, but you can use our support tools to generate a duplicate report yourself,  then our support team will carry out a free, one-time deduplication merge on your behalf.

How the Process Works

  1. Generate your API Key: In Close, go to Settings → Developer → API Keys and click + New API Key. Copy the key, you'll need it in the next step.

  2. Run the duplicates report. Open the support tool (link below), enter your API Key, and run the scan. The tool will generate a file listing all potential duplicate leads in your account.

  3. Review the file: Go through the flagged duplicates and identify which leads should be merged.

  4. Choose your merge rule: Decide how you'd like duplicates resolved (see the options below).

  5. Contact Close Support: Send the reviewed file to our support team along with your preferred merge rule. We will carry out the merges on your behalf.

Choose the tool that matches what you're looking for. Both tools require your API Key and produce a downloadable CSV.  Neither will modify your Close account in any way

🏢 Find Lead Duplicates

Detect duplicate leads across your Close account. Scans for duplicate leads across your entire account, matched by lead name, phone number or email address. Downloads a CSV file with all duplicates found, sorted by the deduplication field.

Detect duplicate contacts within the same lead. Scans for duplicate contacts within the same lead, matched by contact name, phone number or email address. Downloads a CSV file with all duplicates found, sorted by the deduplication field.

These tools will not merge or modify any leads or contacts in your Close account. If you want to merge all duplicates in bulk, send the generated CSV file to our support team along with your preferred merge rule and we will handle it for you.

Merge Rules

When two records are merged, one is kept as the "winner" and the other is absorbed into it. Let us know which rule you'd like us to apply when you send over the CSV.

📆 Merge into the lead that was created first. Useful when the original record is the most complete.

🕐 Merge into the lead that has the most recent status change.

Merge into the lead with the highest-priority status. Priority order is defined in Settings → Statuses & Pipelines.  The higher the status number, the higher the priority.
