What's Available & How to Use Them
Close's support tools portal gives you powerful ways to manage, export, audit, and organize your data without needing support help. Below is a guide to the tools you can access directly, followed by a note about additional tools available through our support team.
Bulk Actions
Bulk Actions Dashboard
Monitor and control all your bulk actions in one place. View currently running, paused, and completed bulk actions, and pause or resume them as needed. Displays up to the last 100 bulk actions performed per type.
Calls
Copy Calls
Copy call activities from one lead to another. You can copy by source lead or specific call IDs. Note that associated recordings, transcripts, and transcript summaries cannot be copied.
Download Call Recordings and Transcripts
Download call recordings and/or transcripts in bulk, with optional filtering by date range and Smart View. Recordings are packaged as a single .zip file with your choice of filename format.
Export Call Dispositions
Generate a CSV report of call disposition outcomes (answered, no answer, voicemail, busy, etc.) for every user in your organization across a specified date range.
Update Dial Code
Bulk update the phone number dial code for all contacts in a Smart View — for example, changing all +1 (US) numbers to +44 (UK). Commonly used to fix imported contacts with an incorrect country prefix.
Contacts
Copy Contact
Copy an existing contact to a different lead without removing them from the original. Optionally includes associated calls, SMS, and opportunities in the copy.
Export Contacts Last Communicated
Export a CSV showing how many times each contact was communicated with (via email, call, or SMS) and when the last communication occurred. Filterable by Smart View, date, and communication count.
Find Contact Duplicates
Scan for duplicate contacts within the same lead, matched by name, phone number, or email address. Downloads a CSV for review. This tool does not modify any data; if you'd like bulk merging, send the CSV to support@close.com.
Reorder Contacts
Reorder contacts within leads based on phone number prefix, moving contacts from a specific country or region to the first or last position in the contact list.
Reorder Phone Numbers
Reorder phone numbers within contacts based on number type (mobile, office, home, etc.), number prefix, or current position. Works in two steps: preview the proposed changes as a CSV before applying.
Custom Activities
Export Custom Activities
Download all Custom Activity instances as CSV files, filterable by type, Smart View, and date range. Each file contains all instances of a single Custom Activity type.
Import Custom Activities
Create or update Custom Activities in bulk from a CSV file. Supports matching to leads by ID, name, email, or phone, and can include custom field values and creation dates.
Custom Fields
Add Dropdown Options
Add multiple options to a dropdown Custom Field all at once, across any object type (Lead, Contact, Opportunity, Custom Activity, or Custom Object).
Copy Custom Field Values
Copy the values from one Custom Field into another across your records; useful when consolidating fields or migrating to a new field structure.
Export Custom Fields
Download all custom fields in your organization to a CSV, with optional filtering by type (Lead, Contact, Opportunity, Custom Activity, or Custom Object).
Rename Dropdown Option
Rename a dropdown option across all records at once. The tool adds the new option, updates all existing records, then removes the old option; keeping your data consistent throughout.
Custom Objects
Export Custom Objects
Download Custom Object records to a CSV, with optional filtering by type, Lead Smart View, and date range.
Import Custom Objects
Create or update Custom Objects in bulk from a CSV file. Supports matching by lead identifier and custom object ID or name.
Emails
Export Email Messages
Download email messages to a CSV, filterable by Smart View, date range, and email address (sender or recipient). Note that attachments are not included in the export.
Imports
Reorder Import Data
After an import, use this tool to reorder contact information so that newly added data is appended to the bottom of the contact list rather than placed at the top (which is Close's default behavior). Available for imports made within the last 30 days, and requires Admin access.
Leads
Download Lead Files
Download all files attached to a single lead or an entire Smart View of leads. Files are packaged in a .zip organized into folders by lead name and ID.
Duplicate Lead
Create a copy of a lead and its contacts, including all custom field values. Opportunities and activities are not duplicated.
Export Lead Status Changes
Download a history of lead status changes to a CSV, with optional filtering by Smart View, date range, and lead custom fields.
Find Lead Duplicates
Identify duplicate leads across your organization by lead name, URL, address, or contact details. Downloads a CSV for review. This tool does not modify any data — if you'd like bulk merging, send the CSV to support@close.com.
Restore Deleted Leads
Recover previously deleted leads along with their contacts, opportunities, tasks, and activities. You can restore from a list of recently deleted leads, by entering lead IDs manually, or via CSV upload. Requires Admin access.
Update Lead Address Country
Bulk update the country field on lead addresses, with optional filtering by Smart View or current country. Works in two steps; preview the proposed changes before applying them.
Meetings
Export Meetings
Download meeting activity records to a CSV, filterable by Smart View and date range.
Notes
Export Notes
Download all lead notes to a CSV, with optional Smart View filtering and the ability to include note attachments as a separate .zip file.
Import Notes
Import notes onto leads in bulk from a CSV file. Supports matching leads by ID, name, email, or phone, and can set the note author and creation date.
Opportunities
Export Opportunity Status Changes
Download a full history of opportunity status changes to a CSV, filterable by Smart View, date range, and custom fields from both leads and opportunities.
Organization
Clone Organization
Copy settings from one Close organization to another: including custom fields, statuses, Smart Views, templates, workflows, and more. Does not copy leads, contacts, opportunities, or activities.
Export Event Log
Download Close's event log as a CSV. Filter by object type (leads, calls, emails, etc.), action (created, updated, deleted, etc.), date range, lead, or user. Covers up to the last 30 days and up to 100,000 events.
Export Membership Changes
Export a record of user activations and deactivations across one or more organizations within a specified date range (up to the last 30 days).
Export Multi-Organization Usage
For customers managing multiple Close organizations, export a consolidated usage report covering SMS counts, call counts, phone number costs, and active seats per organization.
Export Users
Download a CSV of all users in your organization, including names, emails, user IDs, roles, call recording settings, email tracking pixel status, 2FA status, and more.
Find Unused Items
Identify data in your Close org that hasn't been used since a date you specify: including phone numbers, email and SMS templates, workflows, custom activity and object types, lead and opportunity statuses, and custom fields.
Smart Views
Copy Smart Views
Clone specific Smart Views from one Close organization to another; useful when setting up a new org or sharing views across teams.
Export Leads, Contacts, Opportunities, or Activities from Smart View
Export the records from any Smart View to a CSV, using only the columns currently visible in that view. Does not support legacy text-based Smart Views.
Export Smart Views
Export all of your organization's Smart Views (private and shared) to a CSV for documentation or backup. Does not include other users' private Smart Views.
SMS
Export SMS Messages
Download SMS messages to a CSV with granular filtering options: date range, direction (inbound/outbound), status, local and remote phone numbers, Smart View, user, and unattached messages only.
Tasks
Bulk Add Tasks to Smart View
Create tasks in bulk for every lead in a selected Smart View, with a specified description, due date, and assigned user.
Import Tasks
Import tasks onto leads in bulk from a CSV file. Supports matching leads by ID, name, email, or phone, and can set the task text, due date, and assignee.
Telephony
Export Call & SMS Count by Phone Number
Generate a CSV report showing incoming and outgoing call and SMS volume for each phone number in your organization across a specified date range.
Export Phone Numbers
Download a CSV of all provisioned phone numbers in your organization, including user assignments, settings, and forwarding details.
Export Call & SMS Usage
Generate a cost report for calls and SMS messages across a date range. Note: does not include phone number rental fees, add-ons like Call Assistant, or costs from deleted activities.
Phone Numbers Dashboard
View and manage all phone numbers in your organization; see user assignments, purchase new numbers, and reassign or remove existing ones.
Reassign Phone Numbers
Reassign provisioned phone numbers from one user to another; essential for offboarding, role changes, or team restructuring without losing the number.
Templates
Export Email & SMS Templates
Download all email and SMS templates from your organization to a CSV for documentation, backup, or migration.
Sent Templates Report
See how often each email and SMS template has been used, so you can understand which templates your team is actually sending and identify ones that may be outdated or underused.
Additional Tools (Available via Support)
Beyond the tools listed above, there are additional capabilities for more sensitive data operations. Because these tools can modify or permanently remove data, they're made available on request through our support team to ensure they're used safely and in the right context.
