Creating Email Newsletters with Workflows: A Salesperson's Guide

Integrating Workflows into your email newsletter strategy allows you to automate, personalize, and optimize your outreach. Workflows allow you to automate a series of actions—such as sending emails, scheduling follow-ups, or assigning tasks—based on specific enrollment triggers or manual enrollments. Workflows can be customized to match your sales process, allowing you to tailor each step to specific lead segments or stages in the sales journey. You can use them to initiate outreach, nurture leads over time, and trigger follow-ups based on recipient behavior. Additionally, you can monitor the progress of each Workflow in real time, helping your team stay organized and responsive. Utilize the Sent Email Report for an in-depth look into how each template is doing.

        Define Your Newsletter Goals

Before setting up a Workflow, clarify your newsletter's objectives. Are you aiming to educate, promote, or nurture leads? Clear goals will shape your content and Workflow design. Consider looking through your Smart Views to determine what type of leads would benefit most from your newsletter. Segment your recipients based on lead status, industry, or previous engagement.

        Create your Email Templates

Head to Settings > Templates & Snippets to create your email template. This is the body of your newsletter, and should be easy to read with minimal graphics. Consider using an HTML tool to help build your newsletter - the tool WordToHTML is free and the HTML code can be copied into the code view within Close.

        • Subject Lines: Create concise, compelling subject lines that encourage opens. For example, "Boost Your Sales with These Proven Techniques."

        • Body Content: Focus on providing valuable, actionable insights. Use clear language and address common pain points relevant to your audience.

        • Call-to-Action (CTA): Include a clear and persuasive CTA to guide readers toward the next step, such as "Schedule a Demo" or "Download the Guide."

Make your newsletters are mobile-friendly by sending a test email to yourself and viewing it on your mobile. Use responsive email templates that adapt to different devices, as many recipients will read your emails on their phones.

Build a Workflow for Your Newsletter

Create a New Workflow: Navigate to the Workflows section in Close and select "Create Workflow."

Define Steps: Add steps such as sending an introduction email, scheduling follow-ups, and assigning internal tasks.

Automate Workflow Senders: Assign specific team members as senders for each step. This feature allows emails to come from the most appropriate person, enhancing personalization.

Enroll Contacts: Add contacts to your Workflow individually, in bulk, or automatically as part of a follow-up process.

Timing can significantly affect engagement. Research suggests sending sales emails on Tuesdays or other midweek days for optimal results.

        Monitor and Optimize Performance

Track key metrics like open rates, click-through rates, and conversions. Use these insights to refine your Workflow and improve future newsletters. Use the Sent Email Report to view each template’s performance over a set period of time, and the Workflow Reporting to see which step is the most successful.
