Perform an action when a Workflow ends

        Article Summary

Let's say you've created the perfect email workflow to send to qualified leads but they don't convert during your expected sales cycle. That's ok - sales is all about the follow-up. Don't sit around and wait for them to respond to an old email. Instead, take our advice and create a killer long-term follow-up workflow and improve your follow-up hustle.

The Close Sales team send their first Workflow to trials which includes three emails over the course of the 14-day period. The trial could expire but that doesn't mean that lead is lost. For example, if the lead makes it through the firstWorkflow and doesn't convert to a customer, they can be automatically added to a 90-day nurtureWorkflow.

        What you will need

        • A Close account and your API key
        • A Zapier account that allows multi-step zaps

        How this integration works

Automatically do something when a Workflow is finished. In this example, we will automatically subscribe a contact to a newWorkflow when the old one ends.

        Pro Tip: Additional Action Steps

Here are some other actions you could do once a Workflow is finished:
Update Lead: change the Lead Status or update a Custom Field when the Workflow is finished.

Step 1: TRIGGER something to happen when a Workflow ends

In our example, the trigger will be "New or Updated Workflow Subscription in Close".

Under Edit Options, select your Workflow name from the drop-down menu or leave the field blank. If you leave the field blank, the Zap will trigger when any Workflow is finished. Select "Finished" as your Action.

Step 2: Decide what ACTION will happen when the Workflow ends

In our example, the action step will be "Subscribe Contact to Workflow in Close".

Under the "Set Up Template" screen, select the following options for each section:

        • Contact: scroll to the bottom and select, Use Custom Value (advanced).
        • Custom Value for Contact ID: select the Contact ID from Step 1.
        • Workflow: select the Workflow you would like each contact subscribed to.
        • Sender Account: select your email account.
        • Sender: select your email address.
        • Calling stepselect which user should be assigned to call these Contacts, if a calling step exists.

Click Continue and test your action step. Once tested, all you need to do is select "Finish" and turn the Zap on.

Pro Tip: Choose who to send the Workflow from

You can set up an email alias in Close and use that email address in the "Sender" field in the zap. Keep in mind that each email step in the Workflow will be sent from this alias. Click here for instructions.
